Event Disclaimer and Terms and Conditions
In registering for the 91st UFI Global Congress 2024, congress sessions and social activities, hosted by UFI, the Global Association of the Exhibition Industry and Koelnmesse, delegates and speakers agree to the following terms and conditions:
Registration
If a person is registering on behalf of a delegate/s it is the responsibility of that person to notify the delegate of the terms and conditions of registering, for which they will be agreeing to on the behalf of the delegate. Responsibility also includes providing full details of the delegate’s/s’ registration details as confirmed.
Privacy
UFI seeks to protect the personal data of its members and hence takes all possible measures required for the security, integrity and confidentiality of your data, in accordance with the provisions of EU Regulation no. 2016/679, applicable since 25 May 2018 (GDPR), and with the Computing and Freedom law subsequently adopted in France.
We hereby inform you that the personal data communicated to us when registering for a UFI event is processed by UFI to manage your participation by providing you with all relevant information, printing your badge, catering for your personal needs including respecting any food intolerances etc. and including your details as a delegate in the event app etc.
This data is kept for the period required for processing your participation, and in this case for the duration of the event. Limited data may be kept for a longer period, for archiving, data analysis and historical purposes.
Your data is accessible solely by our internal services, including our UFI offices located outside the EU.
We inform you that we share only relevant data relating to you exclusively with our subcontracting service-providers and in particular all IT providers (EU), badge company, catering services (for dietary needs), housing company (EU and non-EU), and selected representatives of our host company/venue.
We ensure that our various partners comply with the provisions of the applicable regulations in force, and take all protective measures intended to ensure security, integrity and confidentiality of the personal data to which they have access.

Pursuant to the regulations in force, you can always object to your data being processed. You can also exercise your rights to view, rectify and delete data, to restrict processing, and of portability of data relating to you, and make all requests for additional information relating to protection of your data by writing to gdpr@ufi.org.
To exercise your rights we inform you that you must prove your identity by sending a copy of both sides of your identity document. A reply will be sent to you within one month.
You always have the option of making a complaint to the National Computing and Freedom Commission (CNIL). However, before doing so you can contact UFI at gpdr@ufi.org; we will reply to you within a period of two months.
Insurance
Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out personal travel and medical insurance prior to attending the event. The policy should include loss of fees through cancellation of your participation or through cancellation of the event itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. UFI and Koelnmesse will not take any responsibility for any delegate failing to insure.
Photos – Footage
I hereby authorise UFI and partners of the event (including the hosting organization) to take photographs and use my image throughout the world, strictly in connection with communication concerning the event, on UFI's website, newsletter and/or on social media for a period of 5 years.
